Privacy Policy

The Mobile Coffee Group

The Mobile Coffee Group (“TMCG”, “we”, “us”) is an Australian family-owned business that designs and manufactures custom mobile coffee vans and supplies coffee products. This policy explains how we collect, use, and look after your personal information, in line with the Australian Privacy Act 1988 and the Australian Privacy Principles.

What we collect

Information you give us, including when you:

  • Complete an enquiry or lead form on Facebook, Instagram, or our website (typically your name, email address, phone number, location, and your answers to form questions — for example, when you’re hoping to start your coffee van business);

  • Message us on Facebook Messenger, Instagram, email, or phone, or comment on our social media posts;

  • Request a quote, book a call, or become a customer (order, delivery, and payment details needed to provide our products and services).

Information collected automatically: our website is hosted on Squarespace, which uses cookies and collects standard analytics data (such as pages visited and device type). See Squarespace’s privacy policy for details of their processing.

How we use your information

  • To respond to your enquiry and provide the information you asked for (such as our Custom Coffee Van info pack);

  • To follow up on your enquiry by email, SMS, phone, or social media message — you can opt out at any time (see below);

  • To prepare quotes, deliver our products and services, and provide after-sales support;

  • To improve how we respond to enquiries;

  • To meet our legal obligations.

Automated assistant: we use an AI-powered assistant to help us respond to enquiries and messages quickly. It works under our instruction and supervision, and a team member reviews anything involving quotes, pricing, or complaints. If you’d rather deal only with a person, just say so in any message and a team member will take over.

Marketing and opting out

If you’ve enquired with us, we may send you follow-up messages about our products and services. Every marketing email and SMS we send identifies us and includes a way to opt out (reply “unsubscribe” to an email or “STOP” to an SMS), as required by the Spam Act 2003. Once you opt out, we stop — you’ll only hear from us again if you contact us.

Who we share it with

We do not sell your personal information. We share it only with the service providers we use to run the business, and only so they can provide those services to us:

  • Meta Platforms (Facebook, Instagram, and Meta’s lead ads and messaging tools) — how Meta handles data is described in Meta’s own privacy policy;

  • Google (business email and spreadsheets used to manage enquiries);

  • Website hosting (Squarespace), payment, delivery, and IT providers.

Some of these providers store data outside Australia (typically in the United States). We take reasonable steps to ensure they handle personal information consistently with Australian privacy law. We may also disclose information where the law requires it.

Storage, security, and retention

We take reasonable steps to protect personal information from misuse, loss, and unauthorised access, including access controls on our systems and accounts. We keep enquiry and customer records only as long as needed for the purposes above or as the law requires, then delete or de-identify them.

Access, correction, and deletion (including Meta data deletion)

You can ask us at any time to:

  • Access the personal information we hold about you;

  • Correct anything that’s inaccurate or out of date;

  • Delete your information, including everything collected through a Facebook or Instagram lead form, message, or comment.

To do any of the above, email info@themobilecoffeegroup.com.au with the name and contact details you used, and tell us what you’d like done. We’ll confirm within a reasonable time (normally within 30 days) once completed. Note that we may need to keep limited records where the law requires (for example, records of completed sales).

Complaints

If you have a privacy concern, contact us first at the email above and we’ll do our best to sort it out promptly. If you’re not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
